The evaluation lifecycle
Every PoV or POC in OnTrack moves through the same four stages. Each stage has a defined status—planning, launched, closeout pending, and closed—so a presales leader can see exactly where every active evaluation stands at a glance.
Build a test plan from a reusable template library.
Snapshot the plan into per-evaluation tables.
Mark every test pass or fail, with evidence.
Generate documents and record the outcome.
1. Plan
A sales engineer builds a test plan for the prospect by assembling reusable building blocks from a template library: use cases, success criteria, and the functional tests that prove them. Because the library is standardized, every evaluation starts from a consistent, professional baseline instead of a blank spreadsheet—and anything specific to one customer can be added as a bespoke item.
2. Launch
When the plan is ready, the engineer launches it. OnTrack snapshots the chosen templates into per-evaluation working tables, so each engagement is tracked independently—editing the shared template library later never disturbs an evaluation already in flight. The launch timestamp and status become the authoritative record of when the evaluation went live.
3. Track
As the evaluation runs, the team keeps it current:
- Mark each functional test pass or fail, with notes and screenshots as evidence.
- Map results back to use cases and success criteria so progress is measured against what was agreed at kickoff.
- Post status updates to a timeline so stakeholders stay aligned on progress, deliverables, and next steps.
- Manage the stakeholders and customer details attached to the evaluation in one place.
4. Report & close out
When testing wraps, OnTrack generates the customer-facing documents that carry the deal forward—the Test Plan, update emails, and a closeout briefing—as Word (.docx), PDF, and PowerPoint (.pptx). The evaluation is then marked closed with a recorded win/loss outcome, feeding pipeline, at-risk, win/loss, and executive reports that roll up across every evaluation.
